2. What Personal Information We Collect

When you contact us. If you submit our contact form we collect the name, email address and message you provide, plus the phone number and subject line if you choose to give them. We also record the IP address and browser identification string of the submission, which we use only to detect and block spam and abuse.

When you browse the site. We run our own analytics on our own server. We store a randomly generated identifier in a cookie named oc_vid (see section 8), and against that identifier we record which pages and page sections you view, the website that referred you, any campaign tags in the link you arrived on, and which buttons and links you click. That identifier is a random value: it contains no name, email address or any other detail that identifies you, and we do not store your IP address as part of it.

Google Analytics. We also run Google Analytics, which collects its own usage and device information, including data Google derives from your IP address such as approximate location. Google's handling of that data is governed by Google's own privacy terms.

3. How We Collect Information

We collect information through:

  • Contact form: When you submit an enquiry through our website contact form
  • WhatsApp: When you initiate a conversation via the WhatsApp button on our website
  • Email: When you correspond with us directly
  • Our own analytics: Automatically as you browse, using the oc_vid cookie described above. This data is recorded on our own server and is not sent to anyone else
  • Google Analytics: Automatically as you browse, through Google's cookies and scripts
  • Short links: Our shortened links (addresses beginning /go/) count how many times each link is used. This is a running total only and is not linked to you

Visits that our software identifies as coming from automated crawlers and bots are excluded from all of the above.

4. How We Use Your Information

We use your personal information for the following purposes:

  • To respond to your enquiries and communicate with you about our services
  • To provide, maintain and improve our services
  • To send you information about our services where you have given consent
  • To analyse website usage and improve user experience
  • To detect and prevent spam, fraud, or abuse
  • To comply with legal obligations

5. Information Sharing & Third Parties

We do not sell, rent, or trade your personal information. We may share your information with:

  • Google Analytics: For website usage statistics
  • Email service providers: To deliver contact form submissions to us
  • Hosting providers: Our website hosting infrastructure
  • Legal authorities: When required by law or to protect our legal rights

The analytics we run ourselves are not shared with anyone. That data stays on our own server and is not passed to any advertising network, data broker or other third party.

All third-party service providers are required to protect your information in accordance with applicable data protection laws.

6. Data Retention

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Contact form submissions are retained for the duration of any business relationship and for a reasonable period thereafter. Google Analytics data is retained in accordance with Google Analytics' default retention settings. The visit and click records held in our own analytics are kept for 24 months, matching the lifetime of the oc_vid cookie, after which they are deleted. You can ask us to delete the records tied to your oc_vid identifier before then at any time.

Before those records are deleted we roll them up into daily totals: how many times a page was viewed, how many separate people viewed it that day, how many readers reached the end of an article, which links and buttons were used, and which channel visitors arrived from. Those totals are counts only. They carry no identifier and cannot be traced back to a person or a device, so they are no longer personal information, and we keep them indefinitely as a record of how the site and its articles have performed over time.

7. Your Rights Under POPIA

Under the Protection of Personal Information Act, you have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate or incomplete personal information
  • Request deletion of your personal information (subject to legal requirements)
  • Object to the processing of your personal information
  • Withdraw consent previously given for processing
  • Lodge a complaint with the Information Regulator (South Africa)

8. Cookies & Tracking

Our website uses the following cookies:

  • Essential cookies: Required for the website to function properly, such as the anti-forgery token that protects form submissions
  • oc_vid (our own analytics): A first-party cookie holding a randomly generated identifier, set for two years. It lets us count how many people visit a page rather than how many times it was loaded, and see which pages and links people actually use. It contains no personal information and is not readable by scripts on the page
  • Google Analytics cookies: Set by Google to measure how visitors use the website, including page views, session duration and referral sources

We do not show a cookie consent banner, and we treat every visitor the same way. We have taken that decision because the only cookies we set beyond the essential ones are the two measurement cookies described above: we do not use advertising cookies, we do not track you across other websites, and we do not build profiles about you or share your browsing with third parties for marketing.

You can refuse or delete any of these cookies through your browser settings, and Google offers a Google Analytics opt-out browser add-on. Blocking the essential cookies may stop parts of the website, such as the contact form, from working.

9. Changes to This Policy

We may update this privacy policy from time to time. Any change is posted on this page, and the "last updated" date at the top changes with it.
