A multifaceted web system that pulls SPS's site documents, employee requests, quoting and work-in-progress tracking into a single platform — with approval flows, SharePoint document storage and ERP integration.

The challenge

SPS ran several core operational processes across disconnected tools and manual steps. Documents were captured on site but lived separately from the systems that needed them, employee requests and approvals moved by email and paper, and quoting and work-in-progress had no single, trustworthy view.

The result was the usual cost of fragmentation: duplicated data entry, slow approvals, and no reliable place to see the real status of work or quotes.

What we built

  • A single web-based system covering documents captured on site during work, various employee requests and actions, quote tracking for new work, and tracking of work in progress.
  • Configurable process flows with approval steps, so every request and document follows a defined, auditable path.
  • Documents stored in SharePoint, keeping them in the client's existing document estate rather than a separate silo.
  • Integration into the client's existing ERP system, so operational data and finance stay in step instead of being re-keyed.

The outcome

SPS gained one operational system instead of several disconnected ones: site documents, requests, quotes and work-in-progress all live in the same place, each moving through defined approval steps.

Because the system writes back to SharePoint and the ERP, information is captured once and flows where it is needed — removing the duplicate entry and reconciliation that fragmented tools force on a team.
